POS Taxes LLC (“POS Taxes,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal and financial information you share with us. This Privacy Policy explains what information we collect through our client portal at portal.postaxes.com (the “Portal”), how we use and protect it, and the choices you have. Because we prepare tax returns, we handle highly sensitive information and treat it accordingly.

1. Information We Collect

We collect information you provide directly and information generated automatically when you use the Portal:

• Identity and contact information — such as your name, email address, phone number, mailing address, date of birth, and company name.
• Tax and financial documents — the files and information you upload so we can prepare and file your tax returns, which may include Social Security or taxpayer identification numbers, W-2s, 1099s, 1098s, government-issued identification, prior-year returns, and income and expense records.
• Account information — your login credentials, return status, language preference, and messages you send us through the Portal or its chat feature.
• Billing information — payments are processed by our third-party payment provider (Stripe); we do not store your full card number on our systems.
• Technical information — such as your IP address, browser type, and activity within the Portal, collected to keep the service secure and functioning.

2. How We Use Your Information

We use your information only for legitimate business purposes, including to:

• Prepare, review, and file your tax returns and provide related services;
• Communicate with you about your account, documents, return status, and appointments;
• Request and manage the documents needed to complete your return;
• Process payments and manage billing;
• Maintain the security and integrity of the Portal;
• Comply with our legal, regulatory, and professional obligations.

We do not sell your personal information, and we do not use your tax information for advertising.

3. How We Protect Your Information

We use administrative, technical, and physical safeguards designed to protect your information, including:

• Encryption in transit — the Portal is served over a secure (SSL/TLS) connection using 256-bit encryption, so information you send is encrypted while traveling over the internet.
• Private document storage — your uploaded documents are stored in a private location and are accessible only to you and to authorized POS Taxes staff who need them to prepare your return.
• Access controls — accounts are created and managed by our staff, and each client can view only their own information and files.
• Staff confidentiality — our team is required to keep your information confidential.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We handle taxpayer data consistent with applicable requirements, including the FTC Safeguards Rule and IRS guidance for safeguarding taxpayer information, and we comply with applicable federal and Florida state laws governing the privacy and security of personal and financial information.

4. How and When We Share Your Information

We share your information only as needed to provide our services or as required by law, including with:

• Tax authorities — the IRS and applicable state or local tax agencies, in order to file your returns, with your authorization where required;
• Service providers — trusted companies that help us operate, such as our payment processor (Stripe), our customer-relationship and communication tools (Zoho), our secure hosting provider, and our chat provider (Crisp). These providers may use your information only to perform services for us;
• Legal and regulatory authorities — when we are legally required to do so, or to protect our rights or the safety of others.

We do not sell, rent, or trade your personal information to third parties.

5. How Long We Keep Your Information

We retain your information for as long as necessary to provide our services and to meet our legal, professional, and recordkeeping obligations. For tax records this is generally at least seven (7) years after the relevant tax year. When information is no longer needed, we take reasonable steps to delete or securely dispose of it.

6. Your Rights and Choices

Subject to applicable law and our recordkeeping obligations, you may request access to the personal information we hold about you, ask us to correct information that is inaccurate, request deletion of information we are not required to retain, or contact us with questions about your information. To make a request, use the contact details below; we may need to verify your identity first.

7. Cookies and Similar Technologies

The Portal uses cookies and similar technologies that are necessary for it to function, such as keeping you signed in and remembering your language preference, and to support the chat feature. We do not use the Portal for third-party advertising.

8. Children’s Privacy

The Portal is intended for adults and is not directed to children. We do not knowingly collect personal information from children except as part of a parent’s or guardian’s tax return, provided by that adult.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you through the Portal.

10. Governing Law

This Privacy Policy and our handling of your information are governed by the laws of the State of Florida and applicable United States federal law.
